Tech Requests
When creating events in EMS, you have the option of adding requests for technical resources (i.e. mics, graphic presentations, etc.) This article walks you through how those requests are made and the process to getting approval from the Tech Events Team for your event.
Tech Levels
Tech Levels are the various levels of planning support you need from the Tech Events Team for your event. Outlined below are the names of each level as well as their descriptions:
- Level A
- Tech Events Team will drive coordinating tech needs. Tech Events Specialist will meet with ministry to understand scope of event, determine resources needed, determine staffing needs, and help coordinate contractors or trainings as needed. Tech Events Team will provide emergency support if the need arises during the event.
If you are submitting an event as a Level A, you should NOT submit requests for specific resources (mics, background music, instrumentation, etc.) Tech Level A denotes that you know you need help planning the entire SCOPE of your event, from resources to the people running it.
- Level B
- Some tech resources needed are known, but ministry may need assistance determining their event staffing needs and confirming scope of tech resources to be used. Tech Event Coordinator to coordinate contractors or trainings as needed and determine if meeting with Tech Events Specialist is needed. Tech Events Team will provide emergency support if the need arises during the event.
If you are submitting an event as a Level B, you CAN submit requests for specific resources, but you are telling our team that you need a follow up meeting (either with your specialist or with the coordinator) to clarify your tech needs.
- Level C
- Tech resources needed are known and event staffing needs are known, but trainings and/or contractors are needed. Tech Event Coordinator to coordinate contractors or trainings as needed. Tech Events Team will provide emergency support if the need arises during the event.
If you are submitting an event as a Level C, you will submit requests for specific resources, but you are telling our team you either need a volunteer/staff member trained to run the event, or you need us to hire a contractor on your behalf.
- Level D
- Tech resources needed and tech operators are known and Tech Events Team does not need to be involved in training or resourcing in any capacity. Tech Events Team will provide emergency support if the need arises during the event.
If you are submitting an event as a Level D, you will submit requests for specific resources AND you are telling our team you need no training or contractor support.
- Level F
- A contractor is needed to support your event.
This level will be ADDED to one of the above levels requested. For example, if you need help planning the technical scope of your event, but already know you plan to hire a contractor, you would submit your event as a Level A and a Level F.
Tech Events Team
Our tech events team is structured under an accounts based model. In this model, each ministry will have an assigned Tech Event Specialist – this is your go-to tech person when you are requesting a Tech Level A event. They will contact you directly to help guide you through the technical scope of your event and how this scope will need to be requested in EMS. The Tech Event Coordinator is the first person who receives the request in EMS and helps get your event through the approval process, either by confirming your already requested tech needs and helping you find the appropriate staffing, or by directing you to speak to your Specialist to ensure your event has everything you need to succeed if the event is larger or more complex in scope.
Tech Statuses
We have 2 statuses when going through the tech approval process with EMS:

Tech Approval Pending
- This means you have requested to use tech resources but there are details still needing to be worked out with the Tech Events Coordinator to confirm all these resource requests have been recorded in EMS. When your event is in the Tech Approval Pending status, you can still login to EMS, go into your bookings page, and make additional resource requests and changes to your event.

Tech Approval Confirmed
- This means you have confirmed all tech resources needs with the Tech Events Coordinator (including scheduling any trainings or contractors needed to support your event). When your event is moved into the Tech Approval Confirmed status, you can no longer make additional resource requests to your booking in EMS.
